Legal Conveyancing Assistant

Sam Hawking Property Lawyers is a busy conveyancing practice with offices based in Port Talbot, and Crosshands. Due to continued expansion, we are looking to recruit an experienced conveyancing assistant to join our team in Port Talbot.

This role is essential in supporting our conveyancing department, ensuring that all transactions are processed efficiently and accurately. The ideal candidate will have strong organistional skills and a commitment to providing exceptional customer service.

Key Skills & Experience:

· Previous Legal assistant experience required.

· Highly organised with the ability to manage multiple tasks effectively under pressure

· Ability to work collaboratively within a team environment while also being self-motivated

· IT proficient

· Case management system experience

· Ability to deal with all aspects of a conveyancing workload under supervision of the fee earner

· Strong administrative skills

· The ability to work on own initiative, prioritising workload to meet deadlines.

JOB DESCRIPTION

The principal duties of a Legal Assistant are to: –

· Assist the Fee-earner generally in the entire conveyancing process

· Input data into the Case Management System and use the Case Management system to produce accurate letters and documents.

· Maintain clients’ files in accordance with

a) the rules laid down from time to time by the Council for Licenced Conveyancers,

b) the office procedure manual

· Update clients and take their instructions

· Arrange appointments for clients

· Use best endeavours to deal with incoming mail on the day its received or otherwise without unreasonable delay.

· Prepare standard legal forms using Laser form package

· Work on own initiative to undertake the procedural tasks in the conveyancing process.

· Ensure that all telephone messages received are returned on the same day

· Display a positive and supportive attitude to all staff employed by the Company and its clients and introducers

· Use best endeavours to meet and exceed client expectations

The principal duties when deputising for the Receptionist are to:

· Answer telephone calls and transfer to relevant person.

· Take messages if the relevant person is not available ensuring that these messages are passed on in a timely fashion.

· Greet clients when they call into the office and endeavour to make them feel comfortable and welcome whilst waiting for the fee earner.

· Open and date stamp mail and DX.

· Use best endeavours to open new client files on the same day as instructions are received and input data on the case management system.

· Copy, certify and return all client ID on the day if is received

· Type all correspondence and documents.

· Ensure that mail is signed and either franked or DX stamped. Ensuring that the DX is taken to the office in time for collection

· Ensure that the franking machine is topped up with funds as and when necessary

· Monitor and order stationery as required.

· Display a positive and supportive attitude to all staff employed by the Company and its clients and introducers.

· Use best endeavours to meet and exceed client expectations

Licensed Conveyancer/Conveyancing Solicitor (Residential and Commercial)

Salary – Depending on experience

Location – Office in Cross Hands

Type – Full time, Permanent

We are looking for a Licensed Conveyancer/Conveyancing Solicitor to undertake all aspects of Residential and/or Commercial Conveyancing.

Main Role to include:

  • To undertake fee earning work and provide a profitable contribution to the department
  • Engage with new enquiries face to face as well as via e-mail and telephone
  • Ensure that all client work is dealt with efficiently with high standards of client care at all times
  • Comply with the CLC and SRA regulations
  • Develop and maintain good working relationships with clients and introducers
  • Supervise secretarial support and other immediate support staff as allocated resources
  • Support other fee earners and their caseloads as reasonably required

Required experience/skills

  • Ability to work under pressure, prioritise effectively and meet deadlines
  • Ability to work on your own initiative and make decisions
  • Ability to work as part of a team
  • Ability to communicate well orally and in writing
  • Efficient and well organised, with meticulous attention to detail
  • Excellent IT skills particularly with Word, Excel, Outlook and case management systems
  • Maintain a smart appearance and dress code appropriate for the role

Qualifications and Experience

  • Must have at least 1 years PQE experience
  • Experience of all aspects of residential conveyancing
  • Experience of commercial conveyancing desirable

Salary –  Depending on experience

Location – Offices in Cross Hands and Port Talbot

Having experience in a similar role, your main responsibilities will be assisting the Fee earner in all aspects of conveyancing, both residential and commercial.

Day to day activities include preparing correspondence and documents using ‘case manager’ software, preparing standard legal forms and liaising with clients and solicitors on a day to day basis.

Legal Assistant/Trainee Solicitor

Salary – Depending on experience

Location – Cross Hands

Type – Full Time, Permanent

  • Working towards an LPC qualification
  • IT proficient
  • Case management system experience
  • Ability to deal with all aspects of a conveyancing workload under supervision of the fee earner
  • Strong administrative skills
  • The ability to work on own initiative, prioritising workload to meet deadlines.

We are looking for a legal assistant with a view to becoming a trainee solicitor on completion of the LPC. The position will be based in our Cross Hands office, and as a Legal Assistant you will be dealing with all areas of Conveyancing.  On completion of the LPC and consideration of the standard of work as a Legal Assistant your role will change to that of Trainee Solicitor.
